# Everything CoachKeep does

CoachKeep is software for coaching and counselling practices in India, made by Adeona. It keeps a practice's enquiries, calls, follow-ups, bookings, email and invoices in one place, and tells the coach what to do next. This page lists every part of it, as it works today.

## Today: the working day as one list

- Opens on a single list of what needs doing now: people to call, follow-ups that are due or overdue, today's sessions, invoices that are overdue, and tasks.
- Each item can be done in one or two taps from the list, without opening another page: log a call, send the booking link, mark a session attended, record a payment.
- Finishing one item sets up the next step automatically, so nothing waits on memory.
- Works the same on a phone and a laptop.

## Leads and pipeline

- Every enquiry is a lead on a pipeline with stages the practice defines, from first contact to won or lost, with a reason for each.
- Each person has one record holding their calls, notes, bookings, emails, invoices and consent history, in time order.
- Possible duplicates are suggested and never merged automatically. Merging keeps consent history intact.
- A lead with no next step is shown until someone decides what happens to it.

## Calls and follow-ups

- A calling queue lists who to call, in order. It works with the coach's own mobile SIM: tapping a number opens the phone's dialer, so there is no VoIP, no virtual number and no per-minute charge from CoachKeep.
- The coach calls from their own phone (CoachKeep does not place calls). Two taps record how the call went; CoachKeep then creates the right follow-up.
- WhatsApp: one tap opens a WhatsApp chat with that person on the coach's phone, with the message written for them. The coach presses send. CoachKeep does not send WhatsApp messages by itself.

## Bookings and calendar

- Session types with their own length, hours, buffer times and reminder time.
- A public booking page where clients pick a time, with live availability. Clients can reschedule or cancel through a private link in their confirmation.
- A booking always lands on that person's record in the CRM. A new person becomes a lead automatically.
- Attendance: mark who turned up. A missed session becomes a follow-up.
- Email confirmation and an email reminder (24 hours before by default) to the client.
- Zoom: connect a Zoom account and every online booking gets its own Zoom meeting, which moves when the booking moves and is deleted when it is cancelled.
- A calendar-only app at calendar.getadeona.app for coaches who just want their schedule.

## On the practice's own website

- An opt-in (enquiry) form and the booking calendar can be put on any website by pasting one line of code. They work on WordPress, Wix, Squarespace and hand-made sites.
- The form records exactly what each person agreed to, with a required terms box, and creates a lead with a follow-up due the same day.
- Only websites the practice lists are allowed to show its form or calendar.

## Email: team mailbox

- A shared mailbox for the practice. Email sent and received is threaded into conversations and attached to the person's record, so anyone on the team can pick up a thread.
- Sent from the practice's own address on an Adeona mail domain; replies come back into CoachKeep.

## Email campaigns

- One-off emails to a group, for example everyone who has not booked yet.
- Only people who agreed to marketing email receive it. Consent and unsubscribes are checked again for every address at the moment it sends.
- Every campaign email has a one-click unsubscribe link and header.
- Up to 5,000 campaign emails a month per practice by default (500 a day), sent through Amazon SES.
- No open or click tracking.

## Invoices and payments

- An invoice is offered when a lead is won. Optional GST, with the practice's GSTIN.
- Invoices are sent by email or shared on WhatsApp, and can be downloaded as PDF.
- Part payments: record each payment as it arrives (UPI, bank transfer, cash, card, cheque); the balance updates. A payment entered by mistake can be taken back with a reason.
- Instalment plans: one invoice due in parts, each with its own due date.
- Payment reminders for overdue invoices, at most once a day.
- Revenue from paid invoices, and renewals of repeat clients.

## For a team

- The same product works for one coach or a small team. Every plan includes up to 3 team seats, for example the coach plus two receptionists or counsellors, at no extra cost per user.
- Roles and permissions per person. Staff can be limited to their own records or to one location, and phone numbers and emails can be masked from them.
- When something is hidden from someone, the screen says so instead of looking empty.

## Bringing data in and out

- Import a spreadsheet (CSV). Rows with errors or possible duplicates are shown for review first, and a whole import can be undone.
- Export the practice's data whenever it wants.

## Privacy and security

- Built to follow India's Digital Personal Data Protection Act, 2023. Consent is recorded per purpose, with when and how it was given.
- A second sign-in factor (authenticator app), required for sensitive actions.
- Each practice's data is kept in its own database. Adeona's operators cannot read a practice's business data.
- An audit trail of who changed what.

## Phone and laptop

- Runs in the browser on any phone or computer, and can be added to the home screen like an app.
- Screens open instantly from data already on the device, then refresh.

## What CoachKeep does not do today

So that nobody is surprised:

- It does not place or record phone calls. Calls are made from the coach's own phone.
- It does not send WhatsApp messages automatically. It opens the chat with the message ready.
- It does not take online payments or create payment links. Payments are recorded by the practice.
- Campaigns are not yet sent from a practice's own domain (such as yourpractice.com).
- It does not connect to Google Calendar for customers yet.
- It does not import leads from Instagram or Facebook ads automatically.

# Email and campaigns

CoachKeep sends and receives a practice's email. This page explains each kind of email, who it goes to, the address it comes from and the limits.

## The kinds of email

- Mailbox email: what the coach or their team writes to one person. Threaded with the replies, on that person's record.
- Automatic email: booking confirmations, reminders, reschedules and cancellations, invoices, receipts and payment reminders.
- Campaigns: one email to many people who agreed to marketing.

## The sending address

Each practice sends from its own address on an Adeona mail domain, for example hello@yourpractice.getadeona.app, with the practice's or the coach's name shown as the sender. Replies come back into the practice's CoachKeep mailbox. The domain is authenticated with SPF, DKIM and DMARC, so mail is accepted by Gmail, Outlook and Yahoo.

Sending from a practice's own domain (such as hello@yourpractice.com) is not available today.

## How it is delivered

Email is sent through Cloudflare Email Service and Amazon SES. If one is busy, the other takes over. Bounces and spam complaints come back automatically: an address that bounces permanently or complains is not emailed again.

## Campaigns

- Who receives it: only people who agreed to marketing email, on that exact address, who have not unsubscribed and whose address has not bounced. This is checked again for each address at the moment it sends, not just when the campaign is written.
- Audiences: everyone not yet won or lost, everyone with a lead, or every contact, and can be narrowed by stage, status, source or location.
- Unsubscribe: every campaign email has a one-click unsubscribe link and the List-Unsubscribe header that Gmail and Yahoo require for bulk mail.
- Personal touch: merge fields such as the person's first name. A campaign comes from the coach by name ("Priya from Calm Minds"), and replies go to the coach.
- Test send: send the campaign to yourself first.
- Scheduling: send now, or at a set time.
- Stop button: a running campaign stops before its next email.
- Review: today, a practice's campaign wording is checked by the Adeona team before it is sent.
- Safety guard: if spam complaints pass 0.1% of recent campaign email, the practice's campaigns pause until someone looks.
- No tracking: CoachKeep does not track opens or clicks.

## Limits

- Campaigns: 5,000 emails a month and 500 a day per practice by default.
- Mailbox and staff-sent email: 100 a day and 2,000 a month per practice.
- Booking and invoice email is never held back by these limits.

# Bookings, calendar and Zoom

The booking calendar and the CRM are one system: every booking belongs to a person's record, and every new person who books becomes a lead.

## Setting up

- Session types: for example a free 20-minute discovery call and a paid 60-minute session. Each has its length, buffer times, how far ahead people can book, and its reminder time.
- Hours: weekly working hours per coach, in the coach's timezone.
- Where it happens: Zoom, the coach's own meeting link, phone, or in person.

## How a client books

- The client opens the booking page (a link, or the calendar on the practice's website).
- They pick a day and see only the times that are actually free, in their own timezone.
- The time is held for them while they type their details, so nobody else takes it.
- They confirm and get an email with the details, the meeting link and a private link to reschedule or cancel.

The booking, the person's record and the lead are saved together: a booking can never exist without its CRM record.

## After booking

- An email reminder before the session (24 hours by default).
- Reschedule and cancel by the client through their link, or by the coach.
- Mark attendance. A no-show becomes a follow-up on Today.

## Zoom

A coach can connect their Zoom account. Every online booking then gets its own Zoom meeting: created when booked, moved when rescheduled, deleted when cancelled. CoachKeep does not read recordings or chats. See how to connect or remove Zoom (https://getadeona.app/support#zoom).

## On your website

Paste one line of code and the booking calendar appears on the practice's own website. Only websites the practice lists can show it.

## The calendar app

Coaches who only want their schedule can use calendar.getadeona.app, which opens straight to the calendar.

## Not available today

Connecting Google Calendar (so busy times in Google block bookings) is not available to customers yet.

# Invoices and payments

CoachKeep turns a won client into an invoice and keeps track of what has been paid, what is owed and what is overdue.

## Invoices

- When a lead is marked won, CoachKeep offers to raise the invoice.
- Line items in rupees, with optional GST at the rate the practice sets and its GSTIN on the invoice. Invoice numbers run in order.
- Send by email, share on WhatsApp from the coach's phone, or download the PDF.

## Payments

- Record each payment as it arrives: UPI, bank transfer, cash, card or cheque, with an optional reference. The balance updates.
- Part payments are normal: an invoice can be paid in any number of amounts.
- A payment recorded by mistake can be taken back, with a reason that stays on record.
- CoachKeep does not process payments itself and does not create online payment links today. Money goes directly from the client to the practice.

## Instalment plans

One invoice can be due in parts, each with its own amount and due date, for example a three-month programme paid monthly. CoachKeep shows which part is due next and which is late.

## Reminders and overdue invoices

- Overdue invoices appear on Today.
- A payment reminder email can be sent, at most once a day per invoice.

## Revenue and renewals

- Revenue from what has actually been paid.
- Renewals: clients whose programme is ending come up so the practice can offer the next one.

# Privacy and security

People tell a coach or counsellor things they tell nobody else. CoachKeep is built around that.

## Consent

- Consent is recorded for each purpose (for example marketing email), with when it was given, how, and the notice the person saw. Withdrawals are recorded the same way.
- Nobody is emailed for a purpose they did not agree to, and this is re-checked at the moment each email is sent.
- Built to follow India's Digital Personal Data Protection Act, 2023. A default privacy notice is provided for each practice to adapt.

## Keeping practices apart

- Each practice's data is stored in its own database.
- Adeona's operator console manages accounts but cannot read a practice's clients, notes or email.

## Access inside a practice

- Roles and permissions per person; staff can be limited to their own records or one location.
- Phone numbers and email addresses can be masked from staff who do not need them.
- Second-factor sign-in with an authenticator app, required for sensitive actions.
- An audit trail of who changed what, and when.

## No tracking

CoachKeep does not track whether people open emails or click links, and the booking pages and forms use only the cookies they need to work.

## Is GST added to the price?

No. No GST is charged; ₹1,999 a month (or ₹1,199 a month on the founder offer, ₹3,597 a quarter) is the full amount.

## Is there a lock-in contract?

No. CoachKeep has no lock-in; a practice can cancel at any time, and can export its data whenever it wants.

## Is CoachKeep a CRM or a booking tool?

Both, as one system. A call, a booking, an email and an invoice all belong to the same person's record, so nothing has to be copied between tools.

## Does CoachKeep make phone calls?

## Are there extra charges for calls?

No. Calls go through the coach's own mobile plan, so CoachKeep adds no calling or VoIP charges.

## Does CoachKeep send WhatsApp messages?

Not automatically. One tap opens a WhatsApp chat with that person on the coach's phone with the message already written; the coach presses send. Booking confirmations and reminders are sent by email.

## Can clients book sessions online?

Yes. Each practice has a booking page showing only genuinely free times, in the client's timezone. Clients get an email confirmation, a reminder before the session, and a private link to reschedule or cancel.

## Does CoachKeep work with Zoom?

Yes. A coach can connect Zoom, and every online booking gets its own Zoom meeting that moves or is deleted when the booking changes.

## Does CoachKeep connect to Google Calendar?

Not for customers yet. Bookings live in CoachKeep's own calendar, also available as a calendar-only app.

## Can I put a booking calendar or enquiry form on my own website?

There is no single best CRM for every coach. There is a best fit for how your practice gets clients, books sessions and gets paid. This guide lists what to check, so you can judge any tool, including ours.

## The ten things to check

- Does it tell you who to follow up today? Most coaching revenue is lost to slow or forgotten follow-ups, not to a lack of features. Look for one daily list of calls, overdue follow-ups and sessions.

## Consent comes first

## Why no open tracking

# The DPDP Act 2023: a plain guide for coaches and counsellors

India's Digital Personal Data Protection Act, 2023 applies to any practice that keeps clients' personal data digitally, including a spreadsheet. This is a plain summary, not legal advice.

## The basics

- You are the Data Fiduciary: you decide why and how your clients' data is used.
- Consent should be free, specific, informed, unambiguous and given by a clear action, such as ticking a box that is not pre-ticked.
- Notice: tell people what you collect and why, in clear language.
- Withdrawal must be as easy as giving consent.
- Children: for anyone under 18, verifiable consent from a parent or guardian is needed.

- Penalties can be large, up to ₹250 crore for some failures.
